Terms and Conditions
Welcome to Hidden Track Africa. We are committed to delivering exceptional, tailor-made safari experiences across Africa. Please read the following Terms and Conditions carefully, as they form the basis of your contract with Hidden Track LLC (“Hidden Track”, “we”, “us”, or “our”).
By booking a safari with us, you (“the guest”, “you”, “your”) agree to the terms outlined below.
1. Booking and Payment
- A 30% non-refundable deposit is required to confirm your booking. This secures your itinerary and accommodations.
- The remaining balance is due no later than 60 days prior to departure.
- Bookings made less than 60 days before travel must be paid in full at the time of confirmation.
- All bank charges are to be borne by the guest. Only cleared funds are accepted.
2. Cancellation Policy
If you must cancel your trip, please notify us in writing. Refunds, where applicable, will be processed according to the schedule below:

- Exceptions may be granted in cases of serious illness, family emergencies, or force majeure, subject to documentation and Hidden Track’s discretion.
- COVID-19 or Other Extraordinary Events: We offer flexible rebooking options if travel becomes impossible due to pandemic-related restrictions or other force majeure events.
3. Travel Insurance (Mandatory)
We require all guests to obtain comprehensive travel insurance covering:
- Trip cancellation, curtailment, and interruption
- Medical expenses and evacuation
- Repatriation and hospital admission
- Theft or loss of personal belongings
Guests must ensure their policy covers safari-related activities and travel in East Africa. Hidden Track will not be liable for any costs or damages resulting from inadequate coverage.
4. Risk & Liability
Participation in a safari involves inherent risks, including travel through remote areas, proximity to wildlife, variable weather, and differing medical, safety, and infrastructural standards.
By booking with Hidden Track, you:
- Acknowledge these risks, including physical exertion, political instability, and exposure to natural elements.
- Release Hidden Track LLC, its staff, agents, and affiliates from all liability for injury, death, loss, or damage arising from your participation, even if due to negligence.
- Accept full personal responsibility for your behavior, safety, and compliance with all local laws and customs.
5. Health & Medical Considerations
- Guests must disclose any medical conditions, allergies, or special needs at the time of booking.
- Hidden Track reserves the right to decline participation if we believe a guest is medically unfit or poses a risk to themselves or others.
- We automatically subscribe guests to AMREF Flying Doctors emergency evacuation service for added security.
6. Itinerary & Property Changes
We strive to deliver the exact itinerary promised. However, Hidden Track reserves the right to make substitutions for accommodations or services of similar quality due to availability, weather, safety, or logistical concerns.
In rare cases of trip disruption, we will offer alternative arrangements of equal value, where possible.
7. Documentation & Visas
Guests are responsible for ensuring they hold valid passports, visas, vaccination certificates, and any other required travel documents. Hidden Track is not responsible for denied boarding or entry due to documentation issues.
8. Governing Law
These Terms and Conditions are governed by the laws of England and Wales. Any dispute shall be resolved exclusively in the courts of this jurisdiction.
9. Acceptance of Terms
By confirming your booking, you acknowledge that you have read, understood, and accepted these Terms and Conditions. This agreement supersedes all prior communications or agreements between you and Hidden Track LLC.
